Answered AI (ABN: XX XXX XXX XXX) is an AI automation agency based in Victoria, Australia. We build and operate AI receptionist systems for health practices. This Privacy Policy explains how we collect, use, store, and protect personal information in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs).
2. What information we collect
We collect information in two contexts:
From website visitors: Name, email address, phone number, and practice details submitted via our contact or booking forms.
Through AI voice agents (on behalf of clients): Caller name, phone number, reason for calling, and appointment details. This information is collected on behalf of the health practice (our client) and processed solely to fulfil the service.
3. How we use your information
- To provide and operate AI receptionist services on behalf of our health practice clients
- To respond to enquiries and book demonstrations
- To send weekly performance reports to our clients
- To improve the accuracy and performance of our AI systems
We do not sell, rent, or share personal information with third parties for marketing purposes.
4. Data storage and security
All data is stored on servers located in Australia (AWS ap-southeast-2 — Sydney region). We implement industry-standard security measures including encryption in transit (TLS) and at rest.
Call recordings and transcripts are retained for a maximum of 90 days unless a longer retention period is agreed with the client in writing.
5. Disclosure to third parties
We use the following third-party service providers to deliver our services. Each is bound by their own privacy policies and data processing agreements:
- Vapi.ai — voice agent infrastructure
- Twilio — telephony and SMS
- ElevenLabs — voice synthesis
- OpenAI / Anthropic — AI language processing
- Make.com — workflow automation
6. AI disclosure
In compliance with the Telecommunications (Interception and Access) Act 1979, all AI voice agents operated by Answered AI include an upfront disclosure at the start of every call informing the caller that they are speaking with an AI assistant and that the call may be recorded.
